How Our Calculators Work
Every SmallBizCalc tool runs entirely in your browser. When you enter numbers and click calculate, the computation happens on your device using JavaScript, no data is sent to any server, stored in a database, or shared with third parties. This means the tools work offline, load instantly, and never expose your financial information to anyone.
Formula Sources
All formulas are based on standard accounting, finance, and business management principles as documented in widely accepted references, including:
- Generally Accepted Accounting Principles (GAAP) for profit, margin, and cost calculations
- Standard business finance textbook methodologies for break-even analysis, ROI, and cash flow
- IRS Publication guidelines for tax-related estimates (standard deductions, self-employment tax rates)
- SBA (Small Business Administration) guidelines for loan amortization and eligibility thresholds
Key Calculator Formulas
Profit Margin
Gross margin measures the percentage of revenue remaining after cost of goods sold (COGS). Net margin subtracts all operating expenses, taxes, and interest:
Gross Margin % = (Revenue − COGS) ÷ Revenue × 100
Net Margin % = Net Profit ÷ Revenue × 100
Markup vs. Margin
Markup is calculated on cost; margin is calculated on selling price. These are not interchangeable:
Markup % = (Selling Price − Cost) ÷ Cost × 100
Margin % = (Selling Price − Cost) ÷ Selling Price × 100
Break-Even Analysis
Break-even point is the sales volume at which total revenue equals total costs (fixed + variable):
Break-Even Units = Fixed Costs ÷ (Price per Unit − Variable Cost per Unit)
Break-Even Revenue = Fixed Costs ÷ Contribution Margin %
ROI (Return on Investment)
ROI measures the gain or loss relative to the investment made:
ROI % = (Net Profit − Investment Cost) ÷ Investment Cost × 100
Loan Amortization
Monthly payment uses the standard amortization formula for fixed-rate loans:
M = P × [r(1+r)^n] ÷ [(1+r)^n − 1]
Where P = principal, r = monthly interest rate (annual rate ÷ 12), n = total number of payments.
Documented Assumptions
Each calculator documents its assumptions clearly on the tool page. Common assumptions include:
- Tax rate estimates use current federal brackets; state taxes are not included unless the tool explicitly asks for a state rate
- Loan calculations assume fixed interest rates with equal monthly payments (standard amortization)
- Cash flow projections use straight-line assumptions unless seasonality is explicitly modeled
- ROI calculations do not account for the time value of money unless the tool specifies a discounted cash flow (DCF) approach
Calculator Design Principles
Every SmallBizCalc tool is designed with three core principles: simplicity, clarity, and transparency. The interface focuses on essential inputs without overwhelming options, results are presented in plain language alongside raw numbers, and every calculation is fully documented so you can understand exactly what's being computed and why.
Input fields include contextual help text where needed, and calculators automatically highlight key results (green for positive outcomes like profit, red for warnings like negative cash flow). This visual design helps business owners quickly assess financial health without requiring advanced accounting knowledge.
Privacy & Data Handling
SmallBizCalc runs entirely client-side using vanilla JavaScript with no external dependencies, tracking scripts, or third-party services. When you use a calculator:
- All calculations happen in your browser, no server requests are made during computation
- Inputs are never stored, logged, or transmitted, close the tab and the data is gone
- No cookies are used for calculator functionality (essential cookies may apply for site preferences)
- No analytics tools track individual calculator inputs or results
- The site works offline after the initial page load, perfect for working in spreadsheets or during travel
Testing & Accuracy
Each calculator is validated against known reference values before publication, including textbook examples, IRS worksheet outputs, and cross-checks with established financial calculators. Edge cases (zero values, very large inputs, negative margins) are tested and handled with appropriate error messages rather than silent failures.
LLC fee pages (state registry)
Each /llc-costs-by-state/{state} page is a fee registry for that
Secretary of State, not a formation guide. It reports the published filing fee, the
annual-report (or equivalent) name, fee, and cadence, optional expedite fee and time,
whether online filing is offered, and whether newspaper publication is required.
First-year total = state filing fee + the first-period annual-report fee + a normalized $125 professional registered-agent line (a market-rate placeholder, not a named-vendor quote) + publication cost only when the state requires notice. The page does not walk through name reservation, operating agreements, EINs, insurance, or where to form. Verify current fees on the linked Secretary of State site before filing. The compiled 51-jurisdiction table is also published as a CSV at /data/llc-first-year-fees.csv.
Data licensing and revenue readiness
This section documents what is already productized for citation and licensing. It is a readiness note only, nothing here activates paid products, affiliate placements, or alternative ad networks without explicit operator approval.

License and attribution
Bulk reuse, redistribution, and commercial licensing terms are governed by our Terms of Use (Acceptable Use and Intellectual Property sections). Non-commercial citation with a link back to the source page on smallbizcalc.com is always permitted. Bulk download or resale requires prior written permission, contact legal@smallbizcalc.com.
Affiliate and alternative monetization rules (if ever activated)
SmallBizCalc is POSTURE-C (money-calculator YMYL): any future affiliate or sponsored unit must stay clearly labeled, must not sit adjacent to calculator inputs or fee totals, and must never imply formation, tax, or legal advice. Permitted page classes for evaluation only: standalone guides and the tools index, never LLC state fee tables or statistics Key Findings. Density follows Module 36 shared ceilings with display ads. Operator approval is required before activation.
Alternative ad-network paperwork readiness
Mediavine Journey (representative mid-tier network) requires roughly 1,000 real sessions per 28 days, original content, and a privacy policy, SmallBizCalc has the policy pages and original registry voice, but traffic remains below that threshold (see progress metrics). AdSense remains the primary path while NEEDS_ATTENTION review is open. No alternative network application is filed from this note.
Corrections, verification, and changelog
We treat fee tables and benchmark figures as living data. When a Secretary of State updates a filing schedule or we find a transcription error, we fix the underlying constant in the site code so every page that uses it updates together, not just the page you flagged.
- Report a data issue: email corrections@smallbizcalc.com or use the contact form with the page URL, the value you believe is wrong, and a link to the official source.
- Expected turnaround: we aim to verify correction reports within 72 hours on business days. SOS fee changes may wait for the next registry refresh when the upstream source has not yet published an update.
- What we log: verified data refreshes, applied corrections, and methodology revisions appear on our public changelog. We never backfill or invent entries.

SmallBizCalc tools are for educational and estimation purposes only:
- Results are estimates based on the inputs you provide, real outcomes depend on factors not captured in simple formulas
- Tax calculations use general federal rates; your actual tax liability depends on your full tax situation, deductions, and state/local taxes
- Loan calculations assume you qualify, actual loan terms depend on your credit, collateral, and lender requirements
- Industry-specific rules (franchise fees, specific cost structures, regulated pricing) may not be reflected
